It doesn't get much more exciting than taking your teams away on a tour abroad whether it's for the first time or you are something of a touring veteran! This is the chance to give your team the opportunity to compete against new tactics, styles and ideas. Choosing and Promoting your tour

From the moment you get in touch with an enquiry, we'll help you as much as we can to get the ball rolling with the tour of your choice. We can organise a meeting if you wish or simply discuss your options over the phone, and once you've decided on the most suitable tour for you, we'll send you a specific Tour Proposal reconfirming the cost and inclusions. We'll forward you additional information on accommodations and activities whenever possible to help you stage a parents evening too.

Planning and tour preparations

You'll need to get deposits collected of course and we'll send you a Tour Confirmation once we have received your booking. This will include provisional information about your tour package, useful tour documentation and an invoicing schedule of payments. We will forward you Group Passport packs if requested.

If you are booking via our overseas offices then they can assist you with fundraising, travel insurance, currency exchange, travel kit and a payment plan to suit the timeframe for your tour. Once a booking has been received, we'll send you a Tour Confirmation and Confirmation Invoice. This will include provisional information about your tour package, useful tour documentation and an invoicing schedule of payments. Passport, visa and other important documentation also needs to be addressed at this stage.

Health & Safety

We recommend you check out the British Association of Advisors and Lecturers in Physical Education web site at www.baalpe.org for Health and Safety advice and obtain a copy of the Safe Practice in Physical education and School Sport manual. We also recommend you visit www.fco.gov.uk and check out the "Know Before You Go" section for information on entry requirements and safety issues for your destination country.

Risk Assessment

We are happy to forward Risk Assessment guidelines for the featured tours that we operate. These are designed to assist you in formulating your own risk assessments for your trip based on the requirements of your school/college and Local Education Authority. We also strongly recommend that you undertake an inspection visit to familiarise yourself with your destination. Accommodation similar to the style selected for your group for 1 or 2 nights can typically be offered free of charge to the group leader and a partner or colleague. This will enable you to visit the local surroundings and meet with a local representative. No transportation is normally included although we can help you with flights, ferry reservations and car hire on request.

Excursions and activities

We will work with you to build up a suitable programme of activities during your tour. These may include a number of suggested local excursions to theme parks; tropical pools; stadium tours; and sightseeing. While some can be pre-reserved and added to your invoice, others such as ten pin bowling and crazy golf, for example, can be paid locally during your tour. Tickets to sports matches in season, can often be a great addition to the trip.

We are pleased to be able to offer the following free place ratios on our standard brochure tours. Please check on your Tour Proposal before booking for verification:

Coach tours; 1 free place for every 8 paying persons
Flight tours; 1 free place for every 10 paying persons

How to Book

Planning your tour is easier than you think, so here is a rough step by step guide to booking your next school sports tour with us!

1. Have a good look over the web site and read our latest brochure. When you are interested in a particular tour, please call us to discuss your plans, or to arrange a meeting should you prefer.
2. Having decided on your tour and checked with us for availability, we'll send you a Tour Proposal reconfirming the provisional details for the trip, offering you a short option, while you send letters to parents requesting deposits. All tours are subject to availability at booking.
3. Complete your booking form and send this to us with your initial deposit payment by single school cheque. All deposits are non-refundable. Unless otherwise stated deposits are £50 p.p. for coach tours and £100 p.p. for flight tours.
4. You will also need to send us a completed initial passenger list. This will need to be 100% accurate for most fight tours, although there will be an element of flexibility for coach based tours.
5. We will send you a Tour Confirmation and Invoice for the booking and payment received. You will need to check all the details carefully.
6. A second deposit will be required 8 weeks after your initial deposit has been received. Unless otherwise stated second deposits are £50 p.p. for coach tours and £100 p.p. for flight tours. All deposits are non-refundable.
7. Your final balance payments will be due no later than 10 weeks before departure.
8. We will send you your final tour details and travel documents, approximately 10 days before departure.
