Allow plenty of time for all pre-tour preparations as organising your group payments, documentation and planning can take longer than you think.
The following notes apply to groups from the United Kingdom. Groups residing outside the UK, will need to contact their own local authorities or appointed local agent for details of payment schedules and tour planning, if appropriate.
Choosing and Promoting your tour
From the moment you get in touch with an enquiry, we'll help you as much as we can to get the ball rolling with the tour of your choice. We can organise a meeting if you wish or simply discuss your options over the phone, and once you've decided on the most suitable tour for you, we'll send you a specific Tour Proposal reconfirming the cost and inclusions. We'll forward you additional information on accommodations and activities whenever possible to help you stage a parents evening too.
Planning and tour preparations
You'll need to get deposits collected of course and we'll send you a Tour Confirmation once we have received your booking. This will include provisional information about your tour package, useful tour documentation and an invoicing schedule of payments. We will forward you Group Passport packs if requested.
Health and Safety
We recommend you visit www.fco.gov.uk and check out the "Know Before You Go" section for information on entry requirements and safety issues for your destination country.
We recommend that school groups should also check out the British Association of Advisors and Lecturers in Physical Education web site at www.baalpe.org for Health and Safety advice and obtain a copy of the Safe Practice in Physical education and School Sport manual.
Risk Assessment
School groups only:
We are happy to forward Risk Assessment guidelines for the featured tours that we operate. These are designed to assist you in formulating your own risk assessments for your trip based on the requirements of your school/college and Local Education Authority. We also strongly recommend that you undertake an inspection visit to familiarise yourself with your destination. Accommodation similar to the style selected for your group for 1 or 2 nights can be offered free of charge to the group leader and a partner or colleague. This will enable you to visit the local surroundings and meet with a local representative. No transportation is included although we can help you with flights, ferry reservations and car hire on request.
